Position Title: Fleet Manager
Location: Buffalo, NY
Company Overview
Our client is a growing construction services company in the Western NY market, operating as a Redi-mix concrete supplier and providing trucking services (dump trucks) for hire, as well as general contracting.
Job Summary
The company owns and operates approximately 60 Class 8 vehicles, 20 pickup trucks, and roughly 10 pieces of construction equipment, stationed across 4 locations with service repair shops at 2 of those locations.
The Fleet Manager will manage all shop details related to vehicle and equipment maintenance, working in tandem with the shop foreman to oversee personnel. This role keeps detailed maintenance records, schedules services and PM intervals, and ensures fleet compliance with NYSDOT and FMCSA standards. The ideal candidate has experience in heavy truck and equipment repair, is highly organized, and can think analytically to improve fleet efficiencies.
Key Accountabilities
Daily:
- Schedule and delegate preventative maintenance to shop mechanics through work orders
- Take incoming calls from drivers for emergency roadside service needs and schedule repairs
- Oversee mechanics on all shifts, including shift scheduling
- Order parts and obtain quotes for major repairs as needed
- Keep accurate records of equipment repaired, parts used, and estimated costs (via Samsara); oversee shop purchases and discuss major repairs with upper management
- Assist mechanics with intricate or complicated repairs as needed
- Coordinate vehicle and equipment availability with redi-mix dispatch, trucking dispatch, and construction project managers
- Reassign drivers to spare vehicles when needed due to pre-trip inspection failures
- Ensure all work follows established safety procedures
Weekly:
- Ensure the weekly schedule is posted and mechanics are informed of changes
- Inspect the shop, tools, and equipment; delegate cleanup and remedy unsafe conditions
- Ensure the tire program/procedures are being followed
- Order parts ahead of time for night shift PMs and repairs
- Provide the office with bills and receipts to ensure timely system entry
- Coordinate taking trucks out of service with trucking and redi-mix managers
- Ensure all locations are properly stocked with driver consumables
Monthly:
- Keep all registrations, inspections, and permits current and on record
- Review Samsara-generated reports and update the Operations Manager on fleet status
- Evaluate the fleet and report potential upcoming problems or needs
- Coordinate monthly checks on job-site equipment
- Coordinate and schedule monthly safety meetings with the safety director
- Coordinate and record monthly fuel and oil tank inspections
Requirements
- Driver's License; CDL Class A or B preferred
- Safe driving record
- Ability to pass mandated DOT physical and pre-employment/random drug screening (if CDL holder)
- Maintain a professional appearance at all times, both personal and company equipment
Knowledge, Skills, and Abilities
- Working knowledge of Samsara (or similar fleet tracking software)
- Familiarity with diagnostic software to assist mechanics with repairs
- Ability to create spreadsheets and other electronic tracking documents
- Flexible schedule, including availability during off hours
- Heavy mechanical knowledge: pneumatic and hydraulic systems, electrical and AC systems, brake and suspension components, etc.
- Ability to train, mentor, and lead new and established team members
- Prior knowledge of the construction industry preferred
Experience
- Minimum 4 years' experience in a shop environment
- Office skills sufficient to create and analyze reports
Education
No degree required; relevant work experience and skills are sufficient.
Compensation
$70,000 – $100,000 per year, depending on experience
