Job Title: Project Billing Specialist
Location: Syracuse, NY (On-site)
Job Type: Full-time
Working Hours: 8:00 AM – 4:30 PM (M-F)
Pay Range: $65,000 – $100,000 per year (based on experience)
About Our Client
For over 50 years, our client, a well-established utility construction company, has been a trusted provider of utility construction services, supporting clients with aerial line construction, fiber optic installation, substation and civil-electric infrastructure, and more. We are continuing to expand our team and are seeking a detail-oriented Project Billing Specialist to support project billing, ERP management, and job tracking functions across multiple construction projects.
Key Responsibilities:
- ERP & Job Setup: Create and manage job entries in Business Central for projects ranging from a few hours to over a year in duration.
- Billing Coordination: Process project-related invoices, track billing cycles, and ensure accuracy in alignment with contract terms, particularly for utility clients.
- Project Tracking: Monitor progress of larger projects, assist with forecasting, and communicate updates across teams.
- Cross-functional Communication: Collaborate regularly with estimators, supervisors, project managers, and clients to ensure alignment and information flow.
- Client Portal Management: Interface with various customer systems, including Ariba, Procore, and other client-specific platforms for invoice submission and documentation management.
- Process Improvement: Assist finance, operations, and leadership team with overall business operations
Qualifications:
- 5+ years of experience in billing, invoicing, contract coordination, or project support:
- Construction Industry experience required
- Utility (Electric, Gas), Telecommunications, or other infrastructure experience preferred
- Experience with ERP systems (Business Central a plus)
- Previous experience navigating various client portals & construction Software systems (i.e. Ariba, Procore, etc.)
- Proficiency in Microsoft Excel and Office Suite
- Excellent communication skills and ability to collaborate across departments
- Strong attention to detail and organizational abilities
- Ability to adapt in a fast-paced and growing environment
- Valid Driver’s License required
- HS Diploma; Bachelor's or advanced degree is preferred but not required
